Job Description Summary: Under the general supervision of the Chief Executive Officer (CEO), the Executive Assistant will provide administrative support/coordination for the CEO and manage projects as assigned. Performs a range of duties in support of the development department as needed. Essential Duties and Responsibilities : This is not an exhaustive task list, and other duties may be assigned as deemed appropriate or necessary by the supervisor or program director. Provide support to the CEO including but not limited to assisting with: the preparation of written correspondence, reports and emails; updating donor information and contributions in donor database and the ability to learn and use other systems; planning of company/special events Manage the CEO calendar, special events and communications Organizes meetings and takes meeting notes, as needed Complete projects and special assignments by establishing objectives; determining priorities; managing time; gaining cooperation of others; monitoring progress; problem-solving; making adjustments to plans Organize meetings, conferences, and calls with both internal and external business partners Under the guidance of the CEO, act as gatekeeper of the executive office and prioritize flow of information for review Coordinate complex meetings, assist in the design and preparation of presentations and other meeting materials Drafts written communications for internal and external purposes Manages Research projects and deadlines Arrange travel, prepare itineraries, handle business travel, including air and ground transportation, hotel reservations, out of town dining, and car rentals under the guidance of the CEO Attend and participates in staff meetings and other aspects of the day-to-day operations and community life of the worksite Work cooperatively with other staff to assure the smooth and seamless delivery of comprehensive administrative services to the Agency and its Members Compile and prepare a variety of special reports including reports that are sensitive and/or confidential in nature Find and define problems, resolve issues and use these to make appropriate recommendations to the CEO Prepare media and information kits on the agency and its programs and order printing Act as backup in busy departments dealing with occasional overflow Ensure the overall professional and neat appearance of the office at all times, including the public meeting rooms, supply/storage rooms and kitchen areas Handle demanding tasks and assignments that may be sensitive and/or confidential Other duties assigned as needed Position requirements: High school diploma or GED preferred Experience in an office setting answering phones and performing general clerical duties Accurate typing at 45-60 wpm Working knowledge of Agency software such as Etapestry or Raiser---s Edge preferred High proficiency with Microsoft Office Suite including Word and Excel and Outlook and Teams; proficient with Zoom and other video conferencing systems Follow office procedures accurately, timely and consistently Must exhibit good personal judgment and discretion when dealing with individuals Ability to interact with a diverse population in a dynamic work environment and to establish relationships with staff and external organizations and individuals Must be self-directed and dedicated to fulfilling the demands of the position Solid communication and interpersonal skills to communicate effectively will all levels of staff, both verbally and in writing Maintain strict level of confidentiality on a variety of information Excellent writing skills (i.e. prepare/review documents with correct grammar, spelling and presentation) Excellent organizational skills and ability to multi-task Ability to interact with a diverse population in a dynamic work environment and to establish relationships with staff and external organizations and individuals Bilingual English/Spanish is a plus Driving with current class C driver---s license, a vehicle for transportation, proof of valid automobile insurance, the ability to be ensured by MHALA liability insurance are conditions of employment Flexible work schedule including evenings, weekends and holidays, as needed TB clearance and yearly re-testing are conditions of employment COVID-19 vaccination is a requirement of this position and accommodations will be considered upon proof of a legal exemption
