*Job Description**Summary: **The Med-Spa Manager will be responsible for providing clients an exceptional customer experience through quality, professional, friendly, and informed service. You will manage operational processes and standards throughout the Center. **We're looking for a compassionate, adaptable, customer-oriented and self-motivated individual who is willing to be hands on and has a genuine interest in growing our Wellness Med Spa!**This position will direct, supervise and provide support for day to day operations of the medical practice and maintain excellent provider and staff support and patient relations. Responsibilities will include routine execution of medical office business and management of the administrative, front desk, back office, and providers to ensure maximum utilization of resources and the efficient delivery of services. Duties will be carried out in order to improve efficiency, safety, compliance, and exemplary patient care. Duties include hiring, training and managing front office, back office.**The Office Manager selected will: ** Hire, train and manage front office, back office, and providers in wellness practice.* Direct, implement, and maintains guest experience and service standards; efficient and professional guest check-in, friendly and educated team members, comfort and cleanliness of procedure rooms and lobby and resolves guest problems and complaints as needed* Develops, implements, and maintains programs/processes to enhance guest satisfaction and ensure front office operations are efficient and profitable* Provides day-to-day guidance and oversight of subordinates; actively works to promote and recognize performance, identifying problem areas and taking corrective actions* Develop team and hold accountable to the achievement of product and service sales and profitability goals* Prepares accurate and timely reports and correspondence as needed; responds to corporate requests* Direct, supervise and coach a productive medical office team to work together collaboratively while achieving their highest individual potentials.* Provides day-to-day guidance and oversight of subordinates; actively works to promote and recognize performance, identifying problem areas and taking corrective actions* Assist in coordinating employee work schedules to ensure proper coverage at all times, maximizing productivity and facilitating uninterrupted service, while maintaining a pleasant and efficient office environment. Provide support to all office operations as needed.* Solve problems and address issues raised by physicians, employees and patients.* Supervise and direct patient scheduling, registration, insurance verification, medical records, and clearly understand necessary billing and credentialing requirements for rendering patient services and managing account receivables.* Maintain timely and effective internal and external practice communication to ensure smooth and efficient operations, advising managers as necessary to expedite resolution of any problems.* Address patient complaints promptly and provide appropriate follow-up and resolution to insure compliance, efficiency and patient satisfaction.* Monitor and track employee hours: tardiness, overtime, unscheduled PTO, PTO and take appropriate action to correct any problems, reviewing with managers when warranted.* Conduct performance reviews and set goals for improvement, with input from managers and physicians.* Oversee proper functioning and maintenance of practice equipment and facility, including selection and ordering of medical and office supplies to maintain appropriate inventory.* Demonstrate a high level of mental and emotional tolerance and even temperament when dealing with people, using tact, sensitivity and sound judgment at all times.* Display a caring and courteous attitude, promoting positive morale and an amicable work environment, always representing the practice in a professional manner.* Be responsible for carrying out all established policies and creating new policies.* Assume profit and loss responsibility of the practice, including expenses and budgeting.* Ensures Center operations are maintained through appropriate planning and implementation of operations processes including; ordering supplies, inventory, security system, overall cleanliness, equipment maintenance and compliance with OSHA regulations* Enforce current protocols and accountabilities with the staff and create new ones as necessary.* Execute other duties as assigned by the Medical Director.*Knowledge, Skills and Abilities: ** Minimum of 5 years of leadership and management experience in a medical office setting.* Solid human resources experience including OSHA and employment law.* Skill in planning, organizing and supervising the operation of the practice.* Hardworking, self-motivated and detail-oriented with high proficiency in exercising good judgment, problem-solving and decision-making.* Talented in developing and maintaining effective relationships with medical and administrative staff, patients, and the public, while demonstrating leadership in practice management and operations.* Excellent written and verbal communication skills, strong interpersonal skills and ability to lead by example.* Ability to delegate authority and responsibility to other staff personnel as deemed necessary to perform their assigned duties, along with the ability to counsel and discipline personnel as may become necessary.* Excellent computer software and hardware skills and extensive knowledge of electronic medical records systems including EMR Meaningful Use.* Bonus: Med Spa Manager Experience*You'll Love This Job If You're: ** Hardworking, Self-Motivated, and Detail Oriented.* High Proficiency in Exercising Good Judgement, Problem-Solving, and Decision-Making.* Talented in Developing & Maintaining Effective Relationships.*Job type: * Full Time*Years of Experience: *Minimum 5 years of managing a medical office*Education level: * Bachelor's degree (required)*Salary: * $25-$30/hrIG: @kwellnesslbWeb: kwellness.comJob Type: Full-timePay: $25.00 - $32.00 per hourSchedule:* 8 hour shift* Monday to FridayCOVID-19 considerations:All employees, patients, and visitors are required to wear face masks when in the office and practice social distancing regulations.
