Summary: The Human Resources Assistant position is considered an essential position within the organization. This role is vital to the company as you are involved with the day to day operations of the Human Resources Department. This position is responsible for the recruiting process, onboarding and training of new employees, providing company benefits, and overall support to each department. Other tasks include contacting references, verifying employment, and providing answers to questions from employees or the public concerning the company. The right candidate should have confidence in their abilities as a problem solver, and have the poise to execute solutions in a timely fashion.Essential Functions of the job: There are several main duties this position will perform.   • Maintain Human Resources databases and update information on an ongoing basis; generate monthly and quarterly management reports; prepare unique data searches and reports as needed
  • Maintain personnel files and other records in compliance with licensing requirements, labor laws and other federal or state regulations governing employment records
  • Responsible for contacting candidates and scheduling processing appointments, conducting reference checks, corresponding with unsuccessful applicants and maintaining applicant files
  • Assist employees with questions and communicates policies and procedures as well as review and enhance current policies and procedures.
  • Assist with processing payroll and entering payroll
  • Responsible for orientation of new hire employees, organize and maintain files of orientation materials
  • Responsible for coordination termination paperwork including conducting exit interviews.
  • Assist in audits of hard copy or computerized records
  • Provide support on special projects for the Human Resource Department such as preparation of training materials and manuals, complex projects in support of application or report preparation
  • Provides relief coverage for reception.
  • Help coordinate and plan special events.
  • Other duties as required and assigned.Education/Experience:
    • Bachelor's degree (B. A.) from four-year college or university; or one to two years related experience and/or training; or equivalent combination of education and experience RequiredKnowledge/Skills:
      • High energy and goal orientated
      • Problem solving and time management skills
      • Effective verbal and written skills, ability to communicate in a professional and appropriate manner. Must have a positive attitude with great interpersonal skills
      • Outstanding work ethic and customer service skills
      • Ability to work Monday through Friday 8:00am 5:00pm
      • Intermediate computer skills including Microsoft Outlook, Word, Excel and PowerPoint
      • Ability to maintain confidentiality and routinely handle sensitive information
      • Ability to independently manage multiple tasks and projects with excellent attention to detail
      • Ability to perform administrative work involving independent judgment, accuracy and speed with minimal supervision.Physical DemandsWhile performing the duties of this job, the employee is frequently required to stand and walk. The employee regularly is required to sit. The employee is frequently required to talk or hear; use hands to finger, handle or feel; and to reach with hands and arms. The employee must regularly lift and/or move up to 10 pounds, frequently lift and/or move up to 25 pounds and occasionally lift and/or move up to 50 pounds. Specific vision abilities required by this job include close vision, color vision, and ability to adjust focus.Certificates, licenses, registrations, and required training: Must maintain a valid CA Drivers License.TravelLocal travel is expected (minimal).Work EnvironmentWhile performing the duties of this job, the employee regularly works in an office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
