At WelbeHealth, you'll help inspire that magic by enabling our teams to push the limits of healthcare and well-being experiences and create the never-before-seen!The Payroll Specialist is responsible for day-to-day management of all payroll related activities on a timely and efficient manner of the programs. Responsibilities include end to end preparation and execution of multi-entity, multi-state payroll for WelbeHealth. The Payroll Specialist collaborates effectively with colleagues and stakeholders to promote the WelbeHealth values, team culture and mission. Duties and Responsibilities:

  • Manage and ensure accurate processing of earnings calculations, timekeeping records, deductions, off cycle payments, and garnishments.
  • Design and continuously improve payroll process and implement process improvements for greater efficiency and accuracy.
  • Ensure best practices for payroll compliance including preparedness and participation in company financial audits.
  • Prepare and configure data/setup for payroll process including new entity and new state setup.
  • Calculate wages, benefits, tax deductions, etc.
  • Maintain accurate records of payroll documentation and transactions.
  • Respond to payroll-related inquiries and resolve concerns from employees at all levels.
  • Review and approve W-2, wage statements, and other required payroll-related forms.
  • Prepare and analyze payroll reports for review by management.
  • Manage direct reports including hiring, training, supervising, and mentoring.
  • Complete all required documentation in a timely and accurate manner.
  • Protect privacy and maintain confidentiality of all company procedures and information about team members, participants, and families.
  • Follow WelbeHealth policies and procedures and participate in any required Quality Improvement activities, staff training and meetings.Qualifications and Requirements:
    • High School Diploma or Equivalency.
    • Degree in Accounting, or relevant field, preferred.
    • CPP Certification, preferred.
    • Minimum of two years' of experience working as a payroll supervisor, lead or a similar role.
    • Working knowledge of payroll practices including federal, multi-state and local tax regulations.
    • Fluent knowledge of California wage and hour laws.
    • Experience working with financial and workers compensation auditors.
    • Experience working with payroll software, ideally including configuration and testing.
    • Experience with processing payroll for health care organizations and/or multiple payroll shifts preferred.
    • Experience working in a multi-entity organization.
    • Knowledge of payroll controls.
    • Experience interfacing with external financial auditors.
    • Prior experience implementing payroll system and/or instituting payroll function, preferred.
    • Proficiency with Microsoft Excel (including VLOOKUP, pivot tables, sumif familiarity).
    • Strong analytical and data gathering skills.
    • Ability to process accurate information in a timely manner.
    • Extreme attention to detail.
    • (2) years' supervisory experience with demonstrated ability to mentor and develop team members.
    • Ability to process accurate information in a timely manner.
    • Excellent leadership, organizational and communication skills in settings with seniors, their families and interdisciplinary team members.
    • Experience leading in a data-driven organization, leveraging reports and data to prioritize and manage people and projects.
    • Highly motivated, inspirational leader who is able to innovatively engage, support and remove barriers for the team to ensure the team consistently meet established goals.
    • Ability to work independently with minimal supervision.
    • Demonstrated ability to prioritize in a fast-paced environment.
    • Experience and competency working with people from diverse backgrounds and cultures.
