Job Description:

We are seeking an experienced, Career Executive Assistant to support the President of healthcare company with offices in Long Beach, CA. This position will primarily be on a remote basis to start then company will be opening their office in Long Beach in approximately Q3/Q4 2022. The right candidate will possess a positive attitude while being self-motivated with the ability to multi-task in a fast-paced working environment and have a passion for helping others through empathy and love. Ideal candidate will have experience supporting President who oversees company's high-growth organization and healthcare industry experience. Requirements:-- Must have at least 5+ years of experience as an EA experience at C-Level-- Experience working in healthcare industries highly preferred-- Experience supporting Operations Executive highly preferred-- Must have advanced skills in email and calendar Management, Microsoft Office applications (Word, Excel, PowerPoint), with the aptitude for learning additional software applications as required)-- Superb interpersonal, written and verbal communication skills-- Highest confidentiality, tact and diplomacy-- Excellent problem-solving-- Dynamic and proactive comfortable in a fast-paced environment Responsibilities:

  • Manage complex and ever-changing calendar and schedule for President
  • Prioritize, de-conflict and schedule according to President's style, preferences and guidance
  • Create summary detailing calendar items / plans / trips for coming weeks/months/year
  • Ensuring the President is well prepared for business and personal meetings and appointments
  • Prepare PowerPoint presentations
  • Coordinate tactical and all-hands meetings and off-sites (location, travel, catering, speakers, agenda, etc.)
  • Plan, coordinate and execute special events, dinners, personal and professional
  • Draft correspondence and escalate inquiries and requests when appropriate-- Create presentations, spreadsheets and charts
    • Coordinate domestic and international travel arrangements, transportation and accommodation as needed; create detailed itineraries and ensure visas, passports, etc. are up-to-date-- Process and submit expense reports
